Assistants with approval

AI agents for business: they prepare, your team decides

We set up AI agents for defined tasks, connect them to your systems and run them: sorting emails, drafting replies, preparing quotes, checking documents. With GDPR data protection and clear rules: whatever leaves your company is approved by a person.

Your customer data does not train third-party AI models.

  1. AI agent reads and prepares
  2. Your team checks and approves
  3. Your systems CRM, ERP, accounting
An AI agent reads emails and documents and prepares a draft. The draft stops at your team: a person checks it and approves. Only then does it go into your systems, such as CRM, ERP and accounting. The agent prepares, people decide.

What AI agents prepare for your team

Agents take over the prep work that costs hours today. We set them up and run them, your team checks and approves.

Measurably better

Less manual work, counted in hours

We measure before and after. What counts is working hours saved, not buzzwords.

With Blacklynx

Prepared your team checks and approves

  • Read and sorted automatically
  • Details checked and matched
  • Approved by your team

You stay in control

What an agent may do and what it may not

Assistants prepare, your team approves. Every step is traceable.

What the agent does on its own

  • Read, sort and flag emails
  • Extract details from documents and match them
  • Look up stock, prices and dates
  • Draft replies, quotes and invoices
  • Report deviations and prepare follow-up questions
  • Record every step in the log

What a person always decides

  • Whether an email, quote or invoice goes out
  • Bookings, orders and payments
  • Deleting data
  • Exceptions to your prices and rules
  • Which data an agent may see
  • Which tasks the agent takes on at all

This is our default. Where full automation makes sense, we agree on it with you explicitly. For every agent we document purpose, data sources and human oversight in writing.

How it works

One agent first, first results after four weeks

We start with one task, not with a platform. Only when it saves time you can measure does the next one follow.

  1. 30 minutes

    Find the task

In the first call we look for the task with the biggest lever and define how the agent is measured.

    Metric defined

  2. From project start

    Set up and connect

We set up the agent for one clear task, with access to your real data and fixed rules. After four weeks we count the working hours saved. If they are not there, we say so.

  3. Ongoing

    Run and expand

We run the agent, monitor it and improve it. Once it saves time you can measure, the next agent takes on the next task.

Frequently asked questions about AI agents

How is an AI agent different from a chatbot?

A chatbot answers questions. An AI agent gets tasks done: it sorts inquiries, processes documents and prepares the next steps, directly in your systems. It is measured by the working hours it gives back to your team.

Which tasks are a good fit for an agent?

Tasks where text has to be understood, such as emails, inquiries or documents in changing formats. Workflows with fixed rules we handle with process automation. In many projects both work together.

Does our team have to learn a new program?

No. Your team works where it already works, for example in the inbox or in Teams. We take care of setting up, running and maintaining the agents.

Which systems do the agents work in?

Where your team already works: in the inbox, in Microsoft 365 and Teams, in your CRM such as HubSpot, Microsoft Dynamics 365 or Pipedrive, and with your accounting in DATEV or lexoffice. We connect your ERP, for example JTL-Wawi, SAP Business One or Odoo.

Where does our data end up, and who sees it?

Your customer data does not train third-party AI models. The agents run in your Microsoft 365 with EU data residency or on infrastructure in Germany. Each agent works with the rights of the signed-in person and sees only what that person may see.

What does the EU AI Act require?

For the agents we set up, mainly transparency: anyone talking to an AI must be able to tell, and anyone on your team who works with AI needs basic knowledge of it. For every agent we document purpose, data sources and human oversight. This is our assessment, not legal advice. For legal questions we bring in partners.

Is an agent worth it for a small team?

Yes. We work for businesses with three people just as much as for groups of companies with several plants. Small teams can automate a great deal too. There, an agent takes on the prep work nobody otherwise has time for.

Which task will you hand over first?

Tell us where your team loses time. We show what an agent can prepare. Thirty minutes, no obligation.
